Webinar Coordinator – Latin America

As Across the Pond operates primarily online and does not have physical offices for students, webinars and other online activities are an important part of how we reach and engage with students across Latin America.

The Webinar Coordinator will coordinate and take an active role in our webinar activities throughout the recruitment cycle. This includes webinars delivered by our advisors, sessions with university partners and other organisations, recorded content, and webinars organised as part of university campaigns.

The role involves working closely with the Latin America Manager, advisors, university partners, Marketing and Web teams, and other relevant colleagues.
 

What the role offers

This is an opportunity to take on additional responsibility and develop experience beyond student advising, particularly in webinar coordination, digital activities and project management. The role offers greater involvement in Across the Pond’s online recruitment activities, closer collaboration with university partners, and the opportunity to coordinate projects from planning through to completion.
 

Time commitment and salary

The Webinar Coordinator role represents approximately 10% of a full-time position.

For an advisor taking on this role, responsibilities will normally be divided as follows:

  • 10% Webinar Coordinator
  • 90% Student Advisor

The number of new student enquiries allocated to the advisor will be reduced accordingly. The role also includes a salary increase in recognition of the additional responsibility.

The Webinar Coordinator and Events Coordinator positions are being advertised at the same time. It is possible to apply for one or both roles. If the same person is selected for both, approximately 20% of their role will be dedicated to coordination and 80% to advising, with their student allocation adjusted accordingly.
 

Main responsibilities

  • Coordinate the webinar programme: Maintain the webinar calendar, distribute sessions among advisors, suggest new topics, and coordinate the setup and delivery of webinars, including registrations, links and recordings.
  • Support promotion and participation: Work with advisors and relevant colleagues to promote webinars to prospective students and support registrations and attendance.
  • Coordinate content and resources: Help create and update presentations and webinar resources in SharePoint, ensuring they follow Across the Pond’s current branding and guidelines. Coordinate new recorded content and maintain the library of on-demand webinars.
  • Manage webinar systems: Set up and maintain webinar tools used in Latin America, including WebinarJam, and keep relevant webinar information and recordings organised.
  • Coordinate university activities: Set up webinars organised as part of university campaigns and coordinate dates and advisor participation in relevant university training sessions.
  • Monitor results: Track registrations, attendance and other relevant results, prepare reports, and suggest improvements based on results and feedback.
     

What we are looking for

We are looking for someone who is organised, proactive and interested in digital communication and online activities.
 

The ideal candidate will have

  • Strong organisational, planning and follow-up skills.
  • Initiative and an interest in suggesting new topics and ideas.
  • Good attention to detail and the ability to manage several deadlines at the same time.
  • Good communication skills and confidence working with colleagues and university partners.
  • Good Microsoft 365 skills and confidence using webinar platforms, online systems and digital tools.
  • Confidence working with PowerPoint and maintaining presentations and digital resources.
  • An interest in reviewing results and identifying possible improvements.
  • Good written and spoken English and Spanish.
