Events Coordinator – Latin America

Physical events are an important part of Across the Pond’s presence in Mexico, giving students and university partners the opportunity to meet us in person.

The Events Coordinator will coordinate and take an active role in Across the Pond’s physical events in Mexico. This includes our own fairs, participation in external education fairs, and activities organised when university partners visit Mexico, such as student interviews.

The role involves working closely with the Latin America Manager, advisors, university partners, Marketing and Web teams, suppliers and external organisations.
 

What the role offers

This is an opportunity to take on additional responsibility and develop experience beyond student advising, particularly in event and project management. The role offers greater involvement in Across the Pond’s activities in Mexico, closer collaboration with university partners and external organisations, and ownership of projects from planning through to completion.
 

Time commitment and salary

The Events Coordinator role represents approximately 10% of a full-time position.
 

For an advisor taking on this role, responsibilities will normally be divided as follows:

  • 10% Events Coordinator
  • 90% Student Advisor

The number of new student enquiries allocated to the advisor will be reduced accordingly. The role also includes a salary increase in recognition of the additional responsibility.

The Events Coordinator and Webinar Coordinator positions are being advertised at the same time. It is possible to apply for one or both roles. If the same person is selected for both, approximately 20% of their role will be dedicated to coordination and 80% to advising, with their student allocation adjusted accordingly.
 

Main responsibilities

  • Coordinate events: Coordinate Across the Pond’s own fairs and physical events, including venues, suppliers, quotations, bookings, payments, schedules and logistics, while monitoring costs and agreed budgets.
  • Coordinate university and external events: Organise Across the Pond’s participation in external education fairs, advisor support for university stands, and activities for university partners visiting Mexico, including interviews. Liaise with event organisers and other external organisations as required.
  • Support promotion and participation: Coordinate event information and work with relevant colleagues to promote events to students and university partners.
  • Coordinate event systems and materials: Manage registration systems, event webpages and online forms, and coordinate the production and updating of relevant digital and physical event materials.
  • Monitor results and maintain resources: Prepare post-event reports and statistics, collect feedback, suggest improvements, and maintain relevant checklists, templates and event resources.

 

What we are looking for

We are looking for someone who is organised, proactive and comfortable taking responsibility for projects from planning through to completion.
 

The ideal candidate will have

  • Strong organisational, planning and follow-up skills.
  • Initiative and the ability to anticipate needs and solve problems independently.
  • Good attention to detail and the ability to manage several deadlines at the same time.
  • Good communication skills and confidence working with colleagues, university partners, suppliers and external organisations.
  • Good Microsoft 365 skills and confidence using digital tools.
  • Confidence working with budgets, quotations and costs.
  • Good written and spoken English and Spanish.
  • Flexibility to attend events outside normal working hours and travel when required.

Being based in Mexico City would be an advantage due to the number of physical events and university visits that take place there.
